Electronic Voting Guidelines

All Academy business matters requiring individual or mass communication to all or a subset of Members and/or Officers may be executed through the most appropriate available communication technology of the time, as agreed to by the Council.  This includes but is not exclusive to electronic means such as email, website, portals, fax, scanner, portable communication devices, etc.

To ensure that electronic ballots have been adequately delivered to intended recipients, acknowledgement of receipt may be requested and response from the Members and/or Officers will be expected within the timeframe as indicated in the communication. If anonymity of the voter is required, appropriate safeguards should be in place to ensure this. 

In the absence of acknowledgement of receipt when one is requested, a second attempt to communicate via any appropriate means may be undertaken.  If this attempt also fails, this will be considered as a “non-response” by the recipient(s).

In the event that no response was given within the timeframe set out in the electronic communication after the acknowledgement of receipt, this will be considered as a "non- response" by the recipient(s).

Each member is responsible for keeping their membership information updated on the AAVPT website.  The Academy is not responsible for any lost or misdirected communications due to inaccurate or out-of-date information.
